General Booking Terms & Conditions

Before booking a trip with us, please read and understand the following booking conditions carefully. We strongly recommend reviewing the "Essential Info" section of your chosen trip to ensure you understand the itinerary, travel style, and physical demands. Should you have any questions, please use the "Request Information" form provided below.

 

Our Contract

All bookings are made through Machu PicchuT E.I.R.L (RUC: 20527976597), a registered tour operator and travel agency (referred to as "we" or "us"). By booking a trip with us, you agree to these Booking Conditions, which constitute the entire agreement between you and us. Your booking will be confirmed by the issuance of a booking confirmation invoice, and the services provided will be as stated on that invoice.

 

Your Details

To confirm your travel arrangements, you must provide all required details along with a deposit. Required details may vary depending on the route and include, but are not limited to, your full passport name, date of birth, nationality, passport number, passport issue and expiration dates, and any pre-existing medical conditions that may affect your travel. For more demanding trips, we may also require a self-assessment form. Failure to provide these details may result in additional charges or non-refundable cancellations.

 

Acceptance of Booking and Payment

You can book online, and we will accept your booking. Upon booking, our Booking Department will send you a confirmation email with an invoice. Please check your spam folder if you do not receive it. A contract between us is formed on the date the confirmation invoice is issued. If you book a tour within 2 days of departure, the contract is effective upon receipt of full payment.

Payment details are included in the booking confirmation invoice. If your deposit (or full payment for bookings within 2 days of departure) is not received by the due date, we reserve the right to treat your reservation as canceled.

 

Deposit Requirement

A 50% deposit per person is required to confirm your booking. The balance is payable in cash upon arrival in Cusco. For reservations made within 2 days of the departure date, 100% of the total amount is due at the time of booking. Bank transfer fees are included in the first payment.

 

Due Balance (Local Payment)

Many of our adventure tours include a "local payment" or due balance, which is the final payment for the tour. This payment is made in cash to your Tour Guide/Leader or another Machu PicchuT representative upon arrival or during the briefing. Local payments help fund services in the Peruvian cities we visit, keep our prices competitive, and allow you to save money. If you prefer to pay by credit or debit card, an additional bank transfer fee will apply.

 

Prices and Surcharges

Our prices are published well in advance, but we may face significant cost increases due to factors beyond our control. We reserve the right to impose surcharges (or reduce prices) up to one month before the departure date due to increased admission fees, transportation costs, taxes, or other government actions. Any surcharge or price drop will be fully explained by Machu PicchuT. If a surcharge increases the program cost by more than 10%, you may cancel your reservation, provided that you do so at least one month before the departure date. You will receive a refund, minus any expenses already incurred.

 

Required Medical Information

To ensure your safety and the smooth operation of your tour, you must provide any medical information requested by Machu PicchuT. In some cases, you may be required to complete a medical information form, especially for certain tours where your health is a critical factor.

For those with pre-existing medical conditions that could affect your ability to travel, participate in the tour, or access medical facilities in remote areas, it is mandatory to submit a Medical Form. This form must be signed by a licensed and practicing physician and returned to Machu PicchuT either before or at the time of final payment for your booking.

You are required to complete the Medical Form honestly, disclosing all relevant medical information accurately. Machu PicchuT will handle this information in line with its Privacy Policy, available at https://www.machupicchut.com/privacy-policy.

Machu PicchuT reserves the right to request additional medical information or professional medical opinions as necessary for your safety or the safety of others on the tour. If Machu PicchuT determines that your physical or mental condition makes you unfit for travel or poses a risk to yourself or others, they reserve the right to deny you permission to travel or participate in any part of the tour. This decision will be made at your own risk and expense.

Pregnancy is considered a medical condition and must be disclosed at the time of booking. Machu PicchuT may refuse to accommodate women who are over 24 weeks pregnant. Additionally, Machu PicchuT may decline to carry individuals with certain medical conditions if reasonable accommodations or alternatives cannot be arranged.

If you fail to complete the required Medical Form or provide the necessary medical information by the specified deadline, Machu PicchuT reserves the right to cancel your booking, and standard cancellation fees will apply.

It is your responsibility to determine whether the tour is suitable for you. Consult your physician to confirm your fitness for travel and participation in planned activities, and seek their advice on vaccinations and medical precautions. Machu PicchuT does not provide medical advice; therefore, you should assess the risks and requirements of each aspect of the tour based on your unique circumstances, limitations, fitness level, and medical needs.

Please note that travel with Machu PicchuT may involve visiting remote or developing regions where medical care may be limited and medical facilities may not meet the standards of your home country. Machu PicchuT makes no representations or warranties regarding the availability or standard of medical facilities in the regions visited on the tour.

 

Special Requirements

If you have any special requirements, they must be disclosed to Machu PicchuT at the time of booking. While Machu PicchuT will make reasonable efforts to accommodate special requests, this may not always be possible due to the nature of the destinations visited and the availability of options outside the planned itinerary. Some activities may be inaccessible if your mobility is limited in any way.

Food allergies and dietary restrictions must be disclosed to Machu PicchuT (including guides, sales executives, and representatives) at the time of booking. However, Machu PicchuT cannot guarantee that all dietary needs or restrictions will be accommodated. Special requests or requirements do not form part of these terms or the contract between you and Machu PicchuT, and the company is not liable for any failure to accommodate or fulfill such requests.

 

Risk Acknowledgment

Some Machu PicchuT itineraries are designed to expose participants to the true nature of the environment, which involves personal risk and exposure to potential hazards that could result in physical or emotional injury, paralysis, death, or damage to property. The client acknowledges these risks as an inherent part of the tour and agrees to assume them. The client declares awareness of their health and physical condition and voluntarily assumes the risks associated with the tour. Machu PicchuT is not liable for any accident or injury related to the client's health or physical condition.

 

Authority on the Tour

The decision of the Guide or any Machu PicchuT representative is final in all matters that may affect the safety or well-being of the tour group. The client must adhere to the laws, customs, and regulations of Peru. If the client fails to do so or disrupts the group's well-being, the Guide or representative may order the client to leave the tour without a refund.

 

Travel Documents

The client is responsible for having a valid passport and all necessary visas for the entire journey. Machu PicchuT provides advice on visas, vaccinations, weather, clothing, and other relevant matters in good faith but without liability. Please verify if you need a visa to enter Peru.

 

Force Majeure (Factors Beyond the Company's Control)

Machu PicchuT will minimize the impact of factors beyond its control, but cannot be held responsible for issues such as political disputes, border closures, visa refusals, protests, delayed flights, unpredictable weather, landslides, or other similar events. The client agrees to bear any additional costs resulting from such factors.

 

Responsibility

Machu PicchuT is not liable for any damage or loss if non-performance of the contract is due to:

  • The client's actions.
  • A third party unconnected with the contract whose actions were unforeseeable or unavoidable.
  • Unforeseen and extraordinary circumstances beyond Machu PicchuT' control, even with due care.
  • Political disputes, industrial action, weather, or other force majeure events.
  • Any event that Machu PicchuT could not have foreseen or prevented.

Liability is limited to the full price paid for the tour. Machu PicchuT is not liable for indirect or consequential losses, including loss of profit.

 

Claims and Complaints

If the client has a complaint during the trip, they must first inform the Tour Guide or company representative so that the issue can be addressed. Any further complaint must be submitted in writing to Machu PicchuT within 7 days of the tour's conclusion. By booking, the client acknowledges they have had ample opportunity to read, understand, and agree to these terms.

 

Inclusions
The total price of your trip includes:

  • All accommodation as listed in the Essential Info section of each tour.
  • All transport mentioned in the Essential Info.
  • Sightseeing listed in the Essential Info.
  • Meals mentioned in the Essential Info.
  • The services of a group leader as described in the Essential Info.

 

  • Exclusions
    The total price of your trip does not include:
  • Visa and passport fees.
  • Travel insurance.
  • International or local flights unless specified in the Essential Info.
  • Airport transfers, taxes, and excess baggage charges unless specified in the Essential Info.
  • Meals other than those specified in the Essential Info.
  • Optional activities and personal expenses.

 

Optional Activities

Optional third-party activities not included in the tour price are not part of this contract. Assistance provided by your group leader or local representative in arranging optional activities does not make us liable for them. The contract for these activities is between you and the activity provider.

 

Travel Insurance

Travel insurance is mandatory for all our travelers and should be obtained at the time of booking. Your insurance must cover personal accidents, death, medical expenses, and emergency repatriation, with a recommended minimum coverage of USD 200,000 per category. We strongly recommend coverage for cancellation, curtailment, personal liability, and loss of luggage. You must provide proof of insurance on the first day of your trip; otherwise, you will not be allowed to join the tour. If you purchase travel insurance through us, please inform us before the trip if you are satisfied with the coverage.

 

Inca Trail Booking Terms & Conditions

Force Majeure: Unforeseen Circumstances

Machu PicchuT is not liable for any cancellations or itinerary changes caused by force majeure. This includes events such as wars, civil unrest, terrorist activities, natural disasters, adverse weather conditions, fires, or any similar events beyond our control. In such cases, we reserve the right to modify, postpone, or, as a last resort, cancel the trip.

 

Events Beyond Our Control (Force Majeure)

In the case of protests or strikes, which are not uncommon in Cusco, we may need to depart the city a day or two earlier than planned. An additional charge will apply to cover the costs incurred.

 

Risk Assumption

By booking any of our adventure treks (such as the Inca Trail to Machu Picchu, Salkantay to Inca Trail, Short Inca Trail, Inca Trail with camping, etc.), you acknowledge the inherent risks associated with these activities. These risks may include personal injury, emotional harm, paralysis, or even death. By participating, you assume these risks, understanding that they cannot be eliminated without altering the fundamental nature of the trek. You confirm that you are aware of your health and physical condition and accept any associated risks. Machu PicchuT is not liable for any accidents or injuries related to your health, physical condition, or other factors.

 

Inca Trail Campsites

Please note that campsites may differ from those listed on the website due to booking time and availability, weather conditions, or government-imposed safety restrictions.

 

Booking Acceptance and Payment

It is essential to book the Inca Trail well in advance. You can make your reservation online, and once confirmed, our Booking Department will send a confirmation email and invoice. Please check your spam folder for this email. A contract is established upon the issuance of the confirmation invoice, and payment details will be provided in the invoice.

During the booking process, please indicate if you wish to climb Huayna Picchu (a 45-minute hike above the Machu Picchu citadel) or Machu Picchu Mountain (a 1.5-hour climb offering panoramic views of the citadel). Each climb costs an additional USD 85.00 per person, with available time slots from 7-8 am or 10-11 am. Flexibility in the time slot is required.

 

Deposit Requirement

To confirm your booking, a 50% deposit per person is required, along with personal details such as full name, passport number, gender, nationality, and date of birth. The remaining balance can be paid in cash upon arrival in Cusco. Please note that bank transfer fees are included in the initial payment.

 

Due Balance (Local Payment)

The remaining balance must be paid in cash to your Tour Guide/Leader or a Machu PicchuT representative upon arrival or during the briefing. The amount can be found on our website, in your travel documents, or on your invoice. If you prefer to pay by credit or debit card, an additional bank transfer fee will apply.

 

Inca Trail Non-refundable Deposit

The deposit is non-refundable as it is used for the immediate purchase of Inca Trail permits, Machu Picchu tickets, porter expenses, and Huayna Picchu/Machu Picchu Mountain tickets (if applicable). These are non-refundable and non-transferable according to the Inca Trail and Machu Picchu regulations. Once booked, no changes or postponements to your hike are allowed.

 

Cancellations

For tours that include the Inca Trail, the deposit is non-refundable. The deposit covers immediate expenses such as Inca Trail permits, Machu Picchu tickets, porter expenses, and Huayna Picchu/Machu Picchu Mountain tickets, which are non-refundable and non-transferable.

If you need to cancel or change your trek, inform Machu PicchuT as soon as possible via email or WhatsApp to avoid incurring additional expenses.

Inca Trail tours can be canceled with a partial deposit refund:

30% up to six months before the tour, 20% up to five months before the tour, and a 100% loss of the deposit for cancellations made less than four months in advance. Once the final balance is paid, no refunds are available. However, portions of the route, such as the Machu Picchu ticket, train ticket, and bus ticket, may still be usable. 

Upon request, we can provide a claim letter for your insurance company.

 

Important Note on Refunds

Refunds will be issued to the client's credit card, a process that may take 7-20 days. Your bank may apply a transaction fee. If your bank does not accept the wire transfer, we will issue a refund via Western Union or Paypal. Please note that the refund will not include a 9% tax, and you will be responsible for the reimbursement commission.
